While ZZPass provides secure cloud sync via iCloud, having a physical or exported backup ensures you can access your passwords even in emergencies. This guide covers printing passwords, exporting data, and best practices for secure backups.

Why Create a Backup?

Printing Passwords on iOS & iPadOS

ZZPass for iOS supports printing passwords and notes using AirPrint or saving as PDF.

Step 1: Access Print Feature

1. Open ZZPass on your iPhone or iPad
2. Go to Settings
3. Tap Print Passwords
4. Authenticate with Face ID/Touch ID

Step 2: Select Items

1. Choose which items to print:
• All passwords
• Selected passwords only
• Include notes (optional)

2. Review the preview
3. Tap Print or Share

Step 3: Print or Save

To Print:
• Select an AirPrint printer
• Choose number of copies
• Tap Print

To Save as PDF:
• Pinch to zoom on preview
• Tap Share
• Save to Files app

Printing Passwords on macOS

ZZPass for Mac provides powerful printing and export options with custom formatting.

Step 1: Access Print Menu

1. Open ZZPass on your Mac
2. Go to FilePrint
3. Or press ⌘P
4. Authenticate if prompted

Step 2: Configure Options

Choose what to include:
• All passwords or selected only
• Include usernames
• Include websites/URLs
• Include notes
• Include TOTP codes

Formatting options:
• Sort order (alphabetical, date)
• Layout (list, table)
• Font size

Step 3: Print or Export

To Print:
• Select printer
• Configure print settings
• Click Print

To Save as PDF:
• Click PDF dropdown
• Select Save as PDF
• Choose secure location

🔐 Export Format Guide

Encrypted ZZPass Format:
• Most secure option
• Password-protected
• Can be re-imported to ZZPass
• Recommended for backups

CSV Format:
• Plain text (unencrypted)
• Compatible with Excel, Google Sheets
• Easy to migrate to other password managers
• ⚠️ Not secure - handle carefully

JSON Format:
• Structured data format
• Includes metadata
• Good for technical users
• ⚠️ Unencrypted

Security Best Practices

🔒 Storing Printed Passwords

Physical Security:
• Store in a locked fireproof safe
• Consider a bank safety deposit box
• Keep in a locked filing cabinet at minimum
• Never leave in plain sight

Access Control:
• Only share with trusted individuals
• Document who has access
• Use sealed envelopes with tamper-evident tape
• Review and update access list annually

💾 Storing Digital Exports

Encrypted Exports:
• Store on encrypted USB drives
• Keep offline (not on cloud storage)
• Make multiple copies in different locations
• Use strong passwords to protect the export

Unencrypted Exports (CSV/JSON):
• ⚠️ Delete immediately after use
• Never email or upload to cloud
• If temporary storage needed, encrypt the file
• Securely wipe files when done (not just delete)

📋 Maintenance & Updates

Keep Backups Current:
• Update printed copies quarterly
• Refresh exports when changing passwords

• Shred old printed copies completely

What NOT to Do

Don't email exports to yourself - Email is not secure and exports contain all your passwords

Don't store unencrypted exports in cloud storage - Dropbox, Google Drive, iCloud Drive are not suitable for unencrypted password lists

Don't print at public or work printers - Printed documents may remain in printer memory or spools

Don't store printed passwords in wallet or purse - If lost or stolen, all your accounts are compromised

Don't forget to update backups - Outdated backups can lock you out of accounts after password changes

Don't share unencrypted exports - If you must share, use encrypted format with separate password

☁️ iCloud Sync (Automatic)

Built-in Backup:
ZZPass automatically syncs your encrypted vault to iCloud when enabled. This provides:

Tips for Effective Backups

Follow the 3-2-1 rule: 3 copies of data, 2 different media types, 1 offsite backup
