While ZZPass provides secure cloud sync via iCloud, having a physical or exported backup ensures you can access your passwords even in emergencies. This guide covers printing passwords, exporting data, and best practices for secure backups.
Digital Emergencies: If you lose access to your devices, forget your primary password, or experience technical issues, a physical backup provides emergency access to critical accounts.
Natural Disasters: Fires, floods, or earthquakes can damage devices. A printed backup stored in a fireproof safe ensures account access during recovery.
Family Access: Provide trusted family members with a secure way to access important accounts if something happens to you.
Business Continuity: Ensure team members can access business accounts during emergencies or transitions.
Platform Changes: Export your data when switching password managers or platforms.
Archive Copies: Keep historical records of passwords for compliance or auditing purposes.

• Easy to migrate to other password managers
• ⚠️ Not secure - handle carefully
JSON Format:
• Structured data format
• Includes metadata
• Good for technical users
• ⚠️ Unencrypted
Physical Security:
• Store in a locked fireproof safe
• Consider a bank safety deposit box
• Keep in a locked filing cabinet at minimum
• Never leave in plain sight
Access Control:
• Only share with trusted individuals
• Document who has access
• Use sealed envelopes with tamper-evident tape
• Review and update access list annually
Encrypted Exports:
• Store on encrypted USB drives
• Keep offline (not on cloud storage)
• Make multiple copies in different locations
• Use strong passwords to protect the export
Unencrypted Exports (CSV/JSON):
• ⚠️ Delete immediately after use
• Never email or upload to cloud
• If temporary storage needed, encrypt the file
• Securely wipe files when done (not just delete)
Keep Backups Current:
• Update printed copies quarterly
• Refresh exports when changing passwords
• Mark copies with date created
• Set calendar reminders to update
Secure Disposal:
• Shred old printed copies completely
• Use cross-cut or micro-cut shredder

• Document disposal dates
Create a printed emergency access kit containing:
• Most critical passwords (bank, email, utilities)
• Recovery keys for important services
• Contact information for key services
• Instructions for family members
Store in a fireproof safe with other important documents like passports and insurance papers.
Before international travel:
• Print essential passwords (hotel, airline, bank)
• Store separately from devices
• Leave a copy with trusted person at home
• Use travel wallet or hidden pocket
Provides backup if devices are lost, stolen, or run out of battery.
When switching to/from ZZPass:
1. Export from current password manager
2. Review and clean up data
3. Import into new password manager
4. Verify all passwords transferred
5. Securely delete export files
❌ Don't email exports to yourself - Email is not secure and exports contain all your passwords
❌ Don't store unencrypted exports in cloud storage - Dropbox, Google Drive, iCloud Drive are not suitable for unencrypted password lists
❌ Don't print at public or work printers - Printed documents may remain in printer memory or spools
❌ Don't store printed passwords in wallet or purse - If lost or stolen, all your accounts are compromised
❌ Don't forget to update backups - Outdated backups can lock you out of accounts after password changes
❌ Don't share unencrypted exports - If you must share, use encrypted format with separate password
Built-in Backup:
ZZPass automatically syncs your encrypted vault to iCloud when enabled. This provides:
• Automatic backups
• Cross-device sync
• Version history
• Recovery if device is lost
Enable in Settings → Account → Configure iCloud
Master Password Recovery:
Your recovery key allows account access if you forget your primary password.
Storage Recommendations:
• Print and store in safe
• Give copy to trusted family member
• Store in password manager on separate device
• Keep offline (never in cloud)
For business use:
• Encrypted exports on encrypted USB drives
• Stored in company safe or vault
• Access documented and audited
• Regular backup rotation schedule
• Multiple copies in different locations
Ensure backups meet compliance requirements (GDPR, HIPAA, etc.)
✓ Follow the 3-2-1 rule: 3 copies of data, 2 different media types, 1 offsite backup
✓ Test your backups regularly - Verify you can actually read and use the backup
✓ Document your backup locations - Keep a secure list of where backups are stored
✓ Use encrypted formats when possible - Encrypted ZZPass format is safest
✓ Include context information - Date created, what's included, how to use it
✓ Consider a succession plan - How will trusted people access your accounts if needed?
